Custom Fields

Custom Fields can be applied to any feature in Buildertrend. This flexible tool lets you add custom information beyond the default fields, making it visible to your internal team, trade partners, vendors, and clients on both mobile and desktop.

By using Custom Fields, you can ensure all important details are saved directly within Buildertrend, eliminating the need for separate notes outside the platform.

Due to their very specific need per company, we cannot provide a recommended list of Custom Fields.

To add a Custom Field to any feature, navigate to the Company Settings within your initials icon. Select the desired feature from the menus.

Scroll to the bottom of that feature to Add New Field.

Add Label (title), Data Type (dropdown, checkbox, date, number, etc.) Tool Tip (provides a small pop-out window to explain field), filtering and requirement options, display information and more.

Click Save to complete.

Custom Fields will now be available on all new and existing Jobs.

Job Groups

Job Groups allow you to organize and manage multiple jobs more efficiently by grouping them based on specific criteria.

You may filter for a specific Job Group when utilizing a feature, streamlining project management and task allocation, making this a key tool for streamlined operations.

While each builder may have specific needs, common group strategy may be related to

  • Location: East Valley, Midtown, Creekside Neighborhood

  • Project classification: Kitchen Remodel, Model A, Flooring

  • Crew info: Field Crew A, John's Team, Contracted Only

*Note: Job Group is separate from Contract Type. Jobs may be assigned multiple Job Groups, but only one Contract Type.

To create and assign a Job Group, navigate to the Info icon, within the desired Job.

Next, click Add next to the Job Group dropdown menu.

Add the Job Group name, then Save.

Next, open the dropdown and select the desired Job Group. Select Save.

Once saved, select the Filter Icon above your Jobs Menu. Select the Groups you wish to search for, then hit Update Results.


You may now navigate to the desired feature, or repeat the above steps once within a feature.


Tags

Tags appear on features throughout Buildertrend and help you classify or group a set of items. In addition to Custom Fields, these tool helps organization and customization.

Placeholders

Use Placeholders on jobs or templates when assigning tasks to unknown, to-be-determined subcontractors or internal users. This practice saves you time and creates an efficient workflow when assigning job tasks.

Placeholders are especially useful when managing templates, so you can avoid leaving fields unassigned.

Example 1: When building the schedule, you know plumbing, painting, and flooring work will be needed, but you're not ready to assign these tasks yet. Use Placeholders like ZZ-Plumbing, ZZ-Painting, and ZZ-Flooring to hold these spots. Later, you can easily reassign the tasks once you've chosen the trades for the job.

Example 2: When starting new jobs from a template, you might not yet know who the Project Managers or trades will be. Use Placeholders like ZZ-Project Manager or ZZ-Roofing throughout the template to assign tasks, which you can later replace with the actual team members or trades.

Navigate to Subs/Vendors from the Users dropdown.

Add your Subs/Vendors with Import option, or individually with New Sub/Vendor.

💡 Pro Tip: Use the "ZZ" suffix to keep placeholders at the bottom of your lists.

After upload, you can find your subs

To create Placeholders, you must have View, Add and Edit role permissions for Subs/Vendors.

Items can be reassigned from:

  • Internal user to internal user

  • Sub to sub

  • Reassign from a placeholder to an actual internal user or sub

  • Reassign from an internal user or sub to a placeholder

To reassign, navigate to the Job Details icon.

Select the Subs/Vendors tab. Search or scroll to find the Placeholder Sub/Vendor or Internal User you wish to replace.

Then, click Reassign Items.

Select the Sub/Vendor or Internal User you wish to replace with. Click Continue.

All items assigned to the original placeholder will appear, so you're aware of all features that will be affected. Click Reassign to confirm and complete the reassignment.


Add & Manage Saved Filters

Filters allow you to populate specific data from within the Grid View by removing fields with unrelated information. Buildertrend offers a Standard Filter as a starting point, but you may create custom Filters to display information necessary for your team.

Filters can also be shared with your team, so everyone can benefit from them.

Navigate to a feature in Buildertrend and select Filter.

Adjust the fields to tell Buildertrend what information you would like to see.

Next, click Apply Filter to see the results.

Note: This Filter is not yet saved for future access! You must complete the next steps to save your Filter.

After choosing to Apply, your Filter menu will contain the message "Your filter has unsaved changes." Select Save As.

From your Manage Saved Filters, add a unique Filter Name, set sharing & default options, and click Add to complete.

This filter will now be visible from your Filter drop down across all Jobs.


To manage Filters, click on the Manage Saved Filters ellipsis that lives next to your Saved Filters dropdown menu.

Within the Manage Saved Filters window, you will see Your Saved Filters and any filters that have been Shared with you.

You also have several options within this window. You can:

  • Add a new saved filter from scratch (Add new saved filter).

  • Edit a current filter (Pencil icon).

  • Delete a filter (Trash Can icon).

  • Set a filter as your default or duplicate a saved filter (More Actions ellipsis).

💡Pro Tip: If you have Custom Fields created in a specific section, you can utilize those when editing and saving custom filters.


Add & Manage Grid Views

Grid Views let you customize the information displayed in each feature, with the option to create unlimited views tailored to your needs.

Buildertrend provides a Standard Grid View as a starting point, but you can create and share custom views with your team. These views also determine the layout for the data available in your Filters.

Navigate to a feature that includes a Grid View and click the three dots next to your View dropdown, called Manage Saved Views.

Within Manage Saved Views, you may view your existing Saved Views, Shared Saved Views, Create New Saved Views from scratch, or Update Current View.

To Update Current View, add fields by selecting the checkbox beside each item in the dropdown, or select the "x" in each field you wish to remove. You may keyword search or scroll to find field options.

Click Apply View to populate Grid.

👍 Pro Tip: If you have Custom Fields created in a specific section, you can utilize those when editing and saving custom Grid Views.

Note: This Grid is not yet saved for future access! You must complete the next steps to save your Grid.

After choosing to Apply, your Filter menu will contain the message "Your view has unsaved changes."

Select New View.

From your Manage Saved Views, add a unique Label (title), set sharing & default options, and click Add to complete.

*Note: Choosing to Mark as private ensures that only the user who created it can see it.

Click Add to save and add the custom grid to Your Saved Views.

Within the Manage Saved Views window, you will see Your Saved Views and any Views that have been Shared with you.


Creating a Grid View from Scratch

You may also create a Grid from scratch by selecting Add New Saved View.

Add a Label (Title), add Columns by searching and selecting fields in the dropdown. Check Mark as private and/or Set as default and then click Add.

This will save the custom grid to Your Saved Views.

Toggle between Grid Views by selecting the dropdown on any feature where Grid Views are available.


Additional Grid Customizations

In addition to managing Grid View columns, you can adjust how they appear. Be sure to save your current view or create a new one after making any changes.

  • Adjusting Width of Column: Hover your mouse over the right side of a column header. A blue bar will appear and allow you to adjust the column width.

  • Reorder Columns: Hover your mouse over a column header, and then click and hold to drag the column to the position you want it.

  • Pin/Freeze Columns: Hover over a column header to reveal the thumbtack icon in the top right corner. Click the icon to freeze the column, keeping it in place while you scroll left or right in the grid. You can freeze as many columns as you'd like.

  • Sort Columns: Hover over a column header to reveal the up and down arrows. Click the up arrow to sort the column in ascending order or the down arrow to sort it in descending order.

You may delete Grid Views at any time by navigating back to Manage Saved Views, then selecting the trash can icon beside the View.
