Buildertrend’s To-Do’s are a powerful tool for managing tasks, checklists, walkthroughs, and any job-related items that require clear documentation and organization. With mobile access, they become even more valuable by keeping your team connected and accountable wherever they are.
To-Do’s can be customized with attachments, priority levels, and checklist items to assign specific items to internal team members, subcontractors, and/or clients. You can also set reminders and notifications to keep everyone on track as deadlines approach.
Plus, To-Do’s integrate directly with Daily Logs and Schedules, giving you a streamlined, all-in-one workflow for managing your projects from start to finish.
To-Do's Help Video
Creating a To-Do
Begin by selecting a Job, then navigate to To-Do's from the Project Management dropdown.
Next, click +To-Do from the To-Do dashboard.
Create your To-Do by including key details such as Notes, Title, Assignee and Due Date. When finished, click Save.
To-Do Fields
Title – Give the To-Do a clear name for quick identification.
Assigned To – Choose Internal Users, Subs/Vendors, and/or Clients responsible for completing the task.
Notes – Add important task details, requirements, or instructions.
Due Date – Set a specific date or link the To-Do to a schedule item for dynamic timing.
💡Pro Tip:
Whenever possible, link your To-Do's due date to a Schedule Item to keep everything in sync with your project timeline. If the schedule shifts, the To-Do's due date will automatically update.
Due dates connected to Schedule Items can be customized to fall a specified number of days before or after the scheduled event.
Attachments – Upload relevant files or create new Word/Excel docs directly from the task.
Priority – Assign a priority level to help manage workload.
Tags – Use keywords to organize and filter your To-Do items easily.
Reminder – Schedule notifications to keep assignees on track.
Adding Checklists
Adding checklists to a To-Do helps break down larger tasks into clear, actionable steps. This is especially useful for punch lists, walkthroughs, or detailed workflows. You can also assign individual checklist items to specific users, ensuring the right person is responsible for each step and improving accountability across your team.
To add checklist items, navigate to the Checklist tab within the desired To-Do and click Add Checklist.
Next, begin adding checklist items.
To rearrange Checklist Items, simply click, hold, and drag the handle to the left of the checklist item to the new desired list order.
By clicking themenu next to an individual checklist item you can assign the specific checklist item to an individual user, as well as add a file attachment to the specific checklist item.
Click Save when complete.
Creating To-Do's from Related Items
In Buildertrend, To-Do's can be created directly from related features like the Schedule and Daily Logs, making it easy to turn observations or planning details into actionable tasks.
Whether you're on-site logging progress or reviewing the project timeline, creating a To-Do from these areas ensures tasks are captured in context and connected to the right part of the project.
If a To-Do is created from a related item, you can easily view that connection by navigating to the Related Items tab within the To-Do.
Creating To-Do's from a Daily Log
Note: A Daily Log must be created before you can generate a To-Do from it.
Begin by selecting a Job, then navigate to Daily Logs from the Project Management dropdown.
Next, select a Daily Log from the Daily Logs dashboard.
From the Daily Log overview, click +Add next to the To-Do's panel to create your To-Do directly from the Daily Log.
Creating To-Do's from a Schedule Item
Begin by selecting a Job, then navigate to Schedule from the Project Management dropdown.
Next, from a schedule item, navigate to the Related Items tab and click New To-Do to create your To-Do directly from the Schedule Item.
Note: You can create a new To-Do directly from a schedule item while setting it up. Just navigate to the Related Items tab and click Save and Create To-Do to save your newly created schedule item and start creating a To-Do.
