Can I create reoccurring schedule items?
Yes. Reoccurring Schedule Items can be created by opening the desired Schedule Item and selecting "Copy" on the top left of the details window. You can choose when you'd like the copy to begin, as well as frequency and end date. Click "Save" to apply.
Can I adjust my Schedule so I can also see other feature due dates on the calendar?
Yes, through the Month View, you can adjust your filter to include feature due dates, by including "Other Items". Be sure to save the filter to easily toggle to in the future, or save as your new default.

Why Can't I Make Saturday and Sunday a Schedule Workday?
If you have existing items on your Schedule, you're unable to adjust your default schedule days, as it would adversely effect any linked features, and existing schedule items.
For one off instances, however, you can create a Workday Exception to open select non-working days, as working days.
If you need to completely adjust your default workdays, you would need to create a template of your existing schedule, delete your existing schedule, and then pull in the template after adjusting your work week. Doing this will shorten the entire duration of your schedule and any linked items such as To Do's or Bids will no longer be linked to your schedule.

First, you'll need to copy your current schedule to a template. To complete this action, you'll want to click into your job details for the specific job you want to fix:
Next click Copy to Template.
Then, title your Template and click Copy To Template.
Now, return to the Schedule in your selected Job.
*Be sure to remember the start date of the first item on your schedule. Now, select Delete All Items from the More Actions dropdown menu.
Once you've deleted all the items, you'll now have the option within your Job Details page to add Saturday and Sunday as a work day:
After you've set the appropriate work days, return to the Schedule and import the schedule from the newly-created template using the More Actions dropdown menu.
Next, be sure to choose the correct template and enter the start date you recorded earlier prior to deletion to ensure your schedule returns to its original state. Click Import when ready.
To-Do's
Can I create a reoccurring To-Do item?
Yes, you can create a reoccurring To-Do item by selecting "Copy", within an existing To-Do. Choose the frequency, and start and end dates of the reoccurrence, before saving.
Files
Why can't my subs or clients see a document/photo/video?
If you've shared a file with a subcontractor or client and they cannot see it in their portal, it's likely due to a permission setting. First, verify that the subcontractor or client is active and has access to the specific job and feature. Next, ensure they have the necessary permissions for the folder and file.
You can check sub and client status and feature access within their profile settings, found within the people icon on the top right of your Buildertrend account.
Is there an area where all my photos are organized together per each feature?
Yes. Photos attached to features like daily logs are automatically organized into an "attached photos" folder, keeping everything accessible and organized.
Can I annotate photos through the mobile app?
Yes, you can annotate photos from the mobile app. However, you’ll need to save the item you're uploading photos to before annotating.
For example, if you take a photo using the mobile app and upload it to a Daily Log, you must first save the Daily Log with the uploaded photo. Afterward, you can edit the daily log to access the photo annotation features.
Updated Document Annotations
What if I had annotations made with the previous Document Annotation tool?
Any annotations made with the old tool have now been flattened into a single layer and saved as a new version of the document. This ensures your important notes remain visible whenever you view the file and can still be built upon using the new annotation tools.
Can I still access the unannotated version?
Yes! If you need to reference the original document without annotations, you can download a previous version from the Version History tab.
Why are annotations always visible?
We heard your feedback—annotations should be easy to find, not hidden in separate layers. By flattening them directly onto the document, your team can quickly reference mark-ups and collaborate more efficiently.
Selections
Can I copy a Selection or Choice from one job to another?
Yes, Selections and Choices can be copied from job-to-job. To do so, use the checkboxes to the left of the Selection, then select "Copy" at the top of the grid and choose the Job you would like to copy it into.
To copy Choices from another Selection, open the choice where you would like to copy into. Select "Add Choice" from the top right , then choose "Copy from Choice", and select desired Selection and Choice.
What's the difference between Shared vs. Single Allowances?
Shared allowances apply to multiple selections, while single allowances are specific to one selection.
Time Clock
Can I split a shift between multiple Cost Codes?
Yes, a single shift can be split between multiple cost codes by a user with Edit Time Clock feature permissions. To do this, navigate to the "Cost" tab within an unapproved shift and click the split icon. Select the new cost code and assign the time dedicated to that code. Repeat as needed.
Can users who are not active on Buildertrend utilize the Time Clock?
Users must be active to log in and utilize the Time Clock. However, Full Admins with permissions to "View and Adjust other users shifts" may Clock In or Record shifts for both inactive and active users.
Notification History
Can I check that a notification was received by my team member, trade partner or client?
Yes, account Admins have access to view any program notifications by navigating to the Notification History tab, within Messaging. Filters can be utilized to search for specific users, or notification types.
Messaging
Can all users see my Messages?
Outside of direct recipients, users who have Global access can view all messages within a Global inbox, regardless if they are included in the original message. To adjust permissions, navigate to User Settings from the top right of the program, and select the desired user. Then navigate to Messaging within the Permissions tab.
How can I set up my Messages email signature?
To automatically include a signature in your messages, navigate to your user icon in the top right corner, select your name, and click the "Messaging" tab. Here, you can set your status as out of office, add your signature, and upload an image. These will be applied to all future messages.
How do I forward emails into Buildertrend?
To centralize communication, you can forward emails from your external email provider to Buildertrend. Each job in Buildertrend has a unique forwarding address. Copy this address from the Messages feature under the specific job, then paste it into the "Send to" field when forwarding an email from your external email provider.
Comments
Can I leave a comment without it being related to a feature?
No, Comments are only available on existing features. To send a general message to your team, trade partners or clients unrelated to a feature, use Messaging or Direct Chat.
Why don't I see all users in the dropdown list to notify?
Ensure that all users are added to the job and have access to the feature you're adding a comment to. Navigate to User Settings from the top right of the program, and select the desired user. Then, navigate to the Job Access tab to confirm the Job is selected. For internal users, navigate to the Permissions tab to then confirm feature access.
Can I adjust visibility and notification settings for other users?
Yes, account Admins are able to adjust User Notifications for their team by accessing the User Settings from the top right of the program and select the desired user. Then, navigate to the Notifications tab within the specific user and locate Messaging below.
Direct Chat
Who can I send a Direct Chat to?
Direct Chats can be sent to active internal users, clients and trade partners.
Can I use Direct Chat on the mobile app?
Yes, Direct Chat can easily be accessed via the mobile app. To learn more, navigate to the Messaging Overview article.
Surveys
Can Surveys be templated?
Yes, Surveys can be templated and customized by navigating to the Company Settings tab, found in the top right of your account within your initials. Next, select Surveys, found within Messaging.
RFI
Can RFIs be sent to clients?
No, RFIs can only be sent to other internal users or trade partners.
What are the best used cases to use RFIs?
RFIs are best used for formalizing questions and requests related to specific features or documents, ensuring that all inquiries are documented and tracked through to resolution.
Can subcontracts create RFIs?
Yes, active subcontractors can submit RFIs through their sub portal, such as when reviewing documents. They can assign the RFI to a specific individual, set a due date, and add any necessary attachments.
