Creating a Standalone Takeoff Using Buildertrend Takeoff

This article will show you how to create a standalone takeoff using Buildertrend, without immediately attaching it to a Proposal or Estimate

In certain instances, it may be preferred to not have the Takeoff data automatically transferred to the lead proposal. Instead, you have the option to create an independent Takeoff that is not linked to Buildertrend. Through this export-import process, customers can then construct a flexible estimate with line items.

First, navigate to the User Profile Icon and select Company Settings.

Then, select Buildertrend Takeoff within the Integrations section.

From this window, select Open Buildertrend Takeoff.

Once inside Takeoff, you will create a new Project and upload plans. Select Create New Project.

Fill out the necessary fields and click Save.

The next window allows you to upload your plans for this project. You can either drag-and-drop the file into the provided area, or browse your computer's files by clicking Browse. When your plans have been uploaded, click Continue. If you do not wish to upload plans at this time, click Close.

There are two (2) pieces of data in each Part that need to be completed prior to measuring to ensure an accurate report for exporting. Choose your template on the left. Next to the Part Name, Description, and Number, click Edit.

The two pieces of information that need to be completed are Cost Code and Part Number. Assign each of these to this part (and any part you will be using.

*Note: An easy way to assign a part number to a part is to copy the part title.

From this point, all Buildertrend Takeoff functionality, in terms of the use of assemblies/parts and taking measurements, is the same. For more information on how any of these features function, click HERE.

*Note: All takeoff measurements need to be completed before moving on!

Once the takeoff is complete, you will need to generate a Part Number Report and export it to Excel. First, on the Plans page, navigate to Reports and click Estimate.

Within this page, change your grouping to Group by Part Number form the dropdown menu at the top.

Next, ensure that all items have a Part Number and Cost Code. Edit any items that have incomplete information. When ready, click Export to Excel.

Once a Part Number Report has been exported as an Excel file from Buildertrend Takeoff, it can then be imported as a series of Lines Items within the Buildertrend Estimate or Lead Proposal. Within a Buildertrend Estimate or Lead Proposal, click External Import icon and select Excel.

Within the Import Wizard, click Browse Computer and select the exported Part Number Report Excel file to import. Select Next when ready.

Using the dropdown menus within each column in the Import Wizard, map the corresponding information from your Part Number Report to the correct columns within Buildertrend:

Takeoff = Buildertrend:

Part Name = Title

Description = Description

Quantity = Quantity

Qty UOM = Unit

Cost Each = Unit Cost

Markup % = Markup Percentage

Cost Code = Cost Code

Click Next when finished.

If any fields were not imported correctly or there were mapping issues, you will be notified. You can also download a report of the information that was not imported. When ready, select Done.

Your parts have now been imported into Buildertrend as Line Items. These are not linked with Buildertrend Takeoff. If you make an adjustment to your takeoff, these line items will not update.
