Lead activities in Buildertrend are logged in the system for historical record within the Activities tab within a Lead Opportunity, allowing all communication to be better organized and available for reference.

There are many different activity types to choose from, but you have the ability to create your own as well to ensure every bit of correspondence with a prospect is recorded. This will allow you to refine your sales process as you will be able to see what processes seem to work better than others.

To record a past activity, navigate to the Activities tab and select Log Completed Activity.

Within Lead Activity Details, you can record the Date and Time the activity occurred, the Activity Type, who Initiated the activity, who is the Assigned User leading the activity, record any Attendees on the activity and note any additional information in the Description field.

Select Save to log the completed activity.

To arrange a future activity, select Schedule New Activity.

Within Lead Activity Details, you can schedule the Date and Time when this activity will occur, the Activity Type, who Initiated the activity, who is the Assigned User leading the activity, record any Attendees that will be on the activity and note any additional information in the Description field. You can set up a Reminder for each activity as well to ensure no activities are missed. Every user and attendee on an activity will receive the reminder notification.

Select Save to schedule the new activity.

When an activity has occurred, select Complete.

Emailing a Lead

When creating an activity, you have the option to Attach an Email.

The email can be composed in one of two ways.

  • Attach Buildertrend Message allows you to create and send emails directly through Buildertrend. The email will come from the email address of the user creating the email.

OR

  • Attach External Email opens your computer's default email tool. Using this method, the email is sent from your email to Buildertrend, which will automatically send the email to the lead opportunity at the designated date and time.

The email will be sent at the designated Activity Date/Time. This will enable you to plan when your emails are sending out in order to have better engagement. People tend to access emails around the noon hour as well as respond well to emails sent during the weekend.

Emailing Multiple Leads

You can email multiple leads within the List View.

Select the checkbox to the left of each lead you would like to email.

From your Checked Actions drop down, select Email Lead Opportunities.

This will enable you to set up when the email will be sent, an option to create the email (Composed Online or Outlook/Other) and what the activity type is. Select Continue to create the email that you would like to send. Select Send Now/Later to send the message at the designated date/time.
