File Management on the Buildertrend mobile app becomes seamless and efficient from the field. Thanks to unlimited storage, your team can organize and access all essential job documents, photos, and videos in one centralized location, anytime, anywhere.
Team members can easily view files, annotate PDFs, and request signatures directly from their mobile devices, ensuring nothing gets missed during critical project updates. As changes are made, they’re instantly synced and visible to office staff, clients, and trade partners, keeping everyone on the same page and helping projects run smoothly.
Navigating to your Files
Start by choosing a job for your Jobs List.
Note: If you don’t select a job from the Jobs List, any Documents or Videos you upload will be stored in Global Documents or Global Videos. This is ideal for any non-job specific information.
Photos, however, must be uploaded to a specific project.
Next, tap More, then choose Photos, Documents, or Videos from the Files features list.
Organizing your Files
Before uploading files, take a moment to create folders to keep your documents, photos, and videos organized. This makes it easier for your team to find what they need quickly and ensures a clean, efficient file management system for the selected job.
From Photos, Documents, or Videos, tap New Folder from the + menu. Enter a folder name and set the appropriate view and upload permissions, when finished click Save.
Note: Folders created are document/photo/video specific and job specific.
For example:
If you create a folder in documents, it will not automatically create the same folder in photos or videos.
If you create a folder for project "X", it will not automatically create that folder in project "Y".
Uploading Files
Uploading files through the mobile app keeps your team informed in real time. Instantly share photos, documents, and videos from the field, ensuring everyone has access to the most up-to-date information.
💡Pro Tip
While you can upload documents, photos, and videos from their respective dashboards, the best practice is to upload your file as an attachment directly within the relevant feature, such as a To-Do, Daily Log, or Schedule item.
This keeps your documentation organized, provides immediate context for the file, and ensures users can quickly access the right information exactly where it's needed.

Uploading Documents
From the Documents dashboard, open the folder where you want to upload the file(s).
Tap the + icon, then select Add Documents.
Choose your upload method:
Add Photos – Upload images directly from your photo library.
Add Documents – Select files stored in your device’s file system.
Scan Documents – Use your phone’s camera to scan and upload a physical document.
After selecting your files, check Notify Users if you want to alert everyone with view permissions about the new upload. When you're ready, tap Upload.
Uploading Photos
From the Photos dashboard, open the folder where you want to upload the photo(s).
Tap the + icon, then select upload method:
Choose Photos – Upload images directly from your photo library.
Take a Photo – Use your phone’s camera to take a photo in real-time.
After selecting your photos, toggle Notify Users if you want to alert everyone with view permissions about the new upload. When you're ready, tap Upload.
Note: Panorama photos taken with an iPhone are not a supported photo type.
However, Buildertrend has a built in 360° photo viewer, allowing you to upload photos taken from a 360° camera.
Uploading Videos
From the Videos dashboard, open the folder where you want to upload the video(s).
Tap the + icon, then select Add Video.
Choose videos from your photo library or tap the camera icon to record a new video. When you're finished, tap Done.
After selecting your videos, check Notify Users if you want to alert everyone with view permissions about the new upload. When you're ready, tap Upload.
Video Restrictions
Individual videos cannot exceed a file size of 5120 MB.
Videos uploaded from your photo library cannot exceed 15 minutes.
Videos recorded directly in Buildertrend cannot exceed 5 minutes.
Uploading Files directly from a Feature
While you can upload documents, photos, and videos from their respective dashboards, the best practice is to upload your file as an attachment directly within the relevant feature, such as a To-Do, Daily Log, or Schedule item.
This keeps your documentation organized, provides immediate context for the file, and ensures users can quickly access the right information exactly where it's needed.
The below screenshot is from within a To-Do, for example.
Files uploaded this way are automatically organized in the Documents, Photos, and Videos dashboards within the ** Attached ** folder, and sorted into corresponding feature folders for easy access and reference.
Managing your Files
After uploading files, tap the ellipsis (...) next to any file to access additional options like:
Share the file.
Make a copy of the file.
Annotating the file.
Requesting a signature (for PDF documents only)
Creating an RFI based off of the file.
